Strategic planning for hotel photography: from shot list to team coordination

The hotel has decided to move forward with a new photo-production. Whether you’re updating marketing visuals, showcasing renovated spaces, or working on a brand repositioning, effective planning for hotel photography will directly influence the quality of your visual assets. The more complex the operation and the more ambitious the goals, the more crucial it is to begin early with a clear structure and a defined focus.

The role of visual content in hotel branding

Before creating a concrete shot list, define the role of the planned images within your marketing communication. The purpose of the visuals will define not only the choice of scenes, but also the styling, use of atmosphere and emotion, and the final format of the output. Hotels typically use photographs across various channels (website, OTA, social media, print, etc.), which shifts the focus from where the images appear to how they resonate and what message they communicate.

Timing your hotel photoshoot: How to choose the right moment

    When planning a hotel photoshoot, it’s essential to consider space availability, operational intensity, marketing priorities, and the quality of natural light throughout the year.

  • City hotels
    Ideal timing: March, April, May, September, October
    Summer and the Christmas season tend to be the busiest, making coordination and preparation more difficult. Spring and autumn usually offer milder operations, softer light, and smoother planning conditions. Winter brings shorter days and less predictable light, which can complicate exterior shots.
  • Resorts and coastal destinations
     Ideal timing: April, May, and September
    Shoulder seasons are ideal for capturing fully prepared outdoor spaces without the pressure of peak occupancy. Lower sun angles provide softer light, enhancing the look of exteriors. In contrast, high season can be logistically demanding and may limit access to certain areas.
  • Mountain and nature hotels
    Ideal timing: depends on the season focus (winter or summer)
    To showcase the winter season, aim for periods with consistent snow cover, but plan for shorter days and stretched hotel staff. For other uses, spring or autumn during lower occupancy tends to be more manageable.
  • Wellness & spa destinations
    Ideal timing: depends on individual hotel
    With year-round operations, these properties allow more flexibility. Spring and autumn are generally preferred for their lighting conditions and manageable guest flow.

The shot list as a roadmap for hotel photography

    Every professional hotel photography production starts with a carefully planned shot list. This list of scenes acts as a practical tool for preparation, team coordination, and the shoot itself. It reflects not only the hotel’s specific marketing needs but also the character of the spaces, seasonality, and the expectations of the target clientele.

    Structure the shot list according to scene typology:

  • Wide compositions (e.g. lobby, guest rooms, restaurant, spa…)
  • Details (e.g. textures, materials, artworks and installations, lighting…)
  • Lifestyle: can be divided into scenes with models (guests interacting with the space, staff in action) and ones that imply guest presence (a bottle of prosecco on the terrace, a magazine and drink by the pool).
    • Assigning priority to each scene (essential, important, supplementary) helps estimate the realistic scope of production during the planning phase. In practice, this proves especially useful when the team needs to react quickly to weather changes, operational delays, or technical issues.

A shot list for an executive suite might look like this:

In addition to defining the scope of the production, the shot list also serves as a practical tool for planning preparations across individual locations. It helps identify which hotel areas need to be staged and to what extent. Depending on your region, it’s also worth considering cultural sensitivity around topics such as clothing, alcohol, or food.

The hotel can either share a partial shot list with the photographer as part of the initial brief, or create it together based on the defined scope and expectations.

Photo shoot coordinator and team communication

The responsibility for coordinating the photo shoot should rest with a single person on the hotel’s side—typically a marketing or brand manager, whether in-house or regional. It’s essential that this person has a clear understanding of the brand, knows the hotel’s positioning, and is aligned on the expected outcomes. Equally important is the ability to communicate these needs clearly across operational teams.

 

Department heads usually pass information on to individual members of the operational teams (housekeeping, maintenance, F&B, spa, front office, etc.). The more these leaders are engaged—by being familiar with the broader context and goals of the shoot—the smoother the preparations will be, and the fewer adjustments will be needed during production days.

 

Involvement from hotel leadership also significantly streamlines preparations and decision-making on site. When senior management sees the project as a strategic priority, this mindset tends to reflect in the team’s commitment and the overall quality of the output.

Careful planning for hotel photography ensures a smooth production process, higher-quality outputs, easier preparation, and effective coordination across operational teams. In the premium hospitality segment, where every detail shapes brand perception, there is no room for improvisation. How to write an opening brief for hotel photographer?

Catching a hotel’s essence goes beyond presenting its design along with amenities—it’s about conveying the atmosphere for guests to experience. A well-prepared photography brief truly saves some time, ensures visual consistency, and actively prevents most misunderstandings. When making a brief, what should be your main focus? This guide acts as a reference checklist for everyone in charge of preparing a brief for a hotel photographer.

Essential Hotel Information

    Commence through a clear and succinct depiction of your hotel property:

  • What brand and type of hotel do you represent? Is it a luxury resort, boutique hotel, serviced apartments, business hotel, or another accommodation type?
  • Where is the hotel located, and what is its setting? (e.g., historic city center, beachfront, mountain retreat, urban hub)
  • What stage is the hotel in? Are you launching a brand new property and need your first set of professional images? Have various areas been renovated? Or is it just simply an update to already existing visuals?

Deliverables & Scope

    A key section—the more precise description, the better define the scope of the shooting.

 

    • How many photos do you need? Having a clear idea helps estimate the required shoot time. If you are unsure, I can suggest a number based on industry standards and specific hotel needs.
    • What type of shots are essential to you? What specific elements and areas do you want me to capture? Are you looking for interior, exterior, or both?

      Exterior: the exterior facade of the hotel and its contextual setting, gardens, pools, beaches, or also destination photography (important landmarks, remarkable places in the area, etc.)?

      Interior: restaurants, bars, rooms, bathrooms (Does each room have its own bathroom design or just universal shots?), spa, pool, gym lobby, hallways, conference rooms (how many setups?), and other public rooms.

      Details: Design features, artwork, room amenities, hotel-branded accessories, and signature elements.

      Lifestyle: staff at work and guests experiencing the hotel environment.

    • What style and atmosphere are you aiming for? Minimalist, dramatic, conceptual, storytelling, or authentic lifestyle feel? Would you like photos taken only during the day or also at night, dusk, dawn, and golden hour? If you have a mood board or previous reference projects, include them. Also, do not forget to include brand guidelines if available.

Licensing & Image Usage

    The use of hotel photographs is subject to the terms of the license. Here are the three main options:

  • Basic License: suitable for smaller hotels. Covers website use, internal materials, emails, social media, print materials up to A1 size, competitions, and online booking platforms.
  • Annual Extended License: ideal for larger hotels. Includes PR articles, paid advertising (online & offline), and out-of-home (OOH) campaigns for one year. Specific image leasing  annual term.
  • Buyout: unlimited and permanent usage, best for international hotel chains.
    • If you need a different type of usage or are uncertain about which license suits your needs, please feel free to ask.

Production Details

  • Deadline: do you have a specific date by which the images must be shot or delivered? Share the project timeline.
  • Models & Extras: will the images include staff members or hired models? Would you like clearly identifiable people, or do you prefer blurred silhouettes to subtly enhance the scene? Will the hotel provide  should I arrange them? If so, an insight into your target group would be helpful.
  • Set Design & Styling: will a professional stylist/set designer be required? This is especially relevant while working with professional models as well as for creating specific atmospheres (e.g., a wedding setup) or complex scenes needing additional decor and floral arrangements.

Technical Considerations

  • Do you require images in specific formats? This is particularly relevant for smaller hotels without in-house graphic designers. I typically provide images optimized for both online and print use (in multiple formats and color profiles).

How to write an opening brief for architectural photographer?

A well-prepared brief for an architectural photographer is key to getting an accurate quote. It also streamlines communication and helps you clarify your requirements internally. That ensures an efficient process and the best possible outcome. It’s not rocket science—this article serves as a quick reference checklist, whether you create briefs regularly or for the first time.

Basic information about the project

    The first step is briefly describing the project—what will be photographed? If you have any visual references, be sure to include them. Renderings, older images (even phone snapshots), project websites, or PDF brochures—any additional materials can be helpful.

  • Are you looking to capture a single building, a complex of multiple structures, or an entire real estate portfolio?
  • Will the photography focus on exteriors, interiors, or both?
  • What is your role in the project? Are you an architect, a design studio, a developer, an investor, an external contractor, or a real estate fund? If relevant, mention other key stakeholders as well.
  • Where is  he project located?
  • What stage is the building in? Is it already in use? Is construction or renovation nearing completion? When will it be operational? Is landscaping still in progress?

Expected Deliverables

    Each client has different expectations regarding the number and type of images.

  • How many photos do you need? Do you have a specific number in mind, or would you like recommendations?
  • What types of shots are most important to you? Do you primarily need wide contextual views, close-ups of materials, specific architectural details, or key design elements? While I always rely on my experience and intuition, sharing your priorities helps ensure nothing essential is overlooked. This often aligns with your role in the project and the intended use of the images.
  • What style or mood do you envision? (Minimalist, dramatic, lifestyle, etc.) Do you need only daytime shots, or would you like to include twilight, dawn, or golden-hour imagery? Is there a specific season you prefer? Feel free to provide a moodboard or references from previous projects.

Licensing & Image Usage

  • Where and how do you plan to use the images? My standard license covers internal websites, social media, email, small printed brochures (up to A1 size), and competition submissions. Please let me know if you need to use the images for online or print advertising, magazines, out-of-home campaigns, or TV commercials.
  • How many entities need image rights (e.g., subsidiaries, parent companies)? If multiple parties are involved, cost-sharing options can be arranged.

Production Details

  • Do you have a specific deadline for an event, website launch, brochure release, or competition submission? If so, please specify the project timeline.

The iconic National Museum of Qatar, dedicated to the history of the state, was built in 2019. Its architecture symbolically evokes the desert, its silent and eternal dimension, and the spirit of modernity and daring that have come along and shaken up what seemed unshakable, taking inspiration from the desert roses (clusters of gypsum or barite crystals).

The Špork Palace is a complex of three buildings, whose original classicist form was  the 1920s by Josef Gočár. In 2017, it was modified based on Stanislav Fiala’s concept, aiming to balance surrounding height differences and create a pedestrian passage that revives the previously empty space. A series of twenty photographs captures key parts of the complex and selected interiors (Červený Jelen, Sia, Dentons).

The assignment was to create 20 photographs of the complex of two opposite office buildings of Generali’s Czech headquarters in Pankrác, Prague, primarily focusing on the exterior. The main building, with a double H-shaped floor plan, is cut through the arc of the main street and wrapped with a 120-metre continuous cover glass wall with lettering and tinted glass, complemented by a drop-shaped roof dome. The building’s opposite side is particularly eye-catching because of its constant glass part on both sides.

The Euro-Astra palace complex consists of two office buildings – the functionalist Astra from 1927 and the modern Euro from 2002, which, together with the opposite Crown, frames Wenceslas Square. For the owners of both buildings, Generali Real Estate, I was commissioned to take 20 photographs. The aim was to cover the exterior with a main focus on Euro, as well as examples of the interiors of both buildings.
